Build IT Together Detroit Wrap Up

Thank you to all who joined us at Grand Circus in Detroit for Build IT Together on October 1, 2013. We're happy to say it was a success with over 20 different companies' CIOs, and Technology Directors coming together to share experiences and collaborate on emerging trends and ever present needs. Congratulations to Eric Spicer, of Plymouth-Canton Community Schools, and Jeff Schefke, of City of Oak Park, who won themselves a Nexus 7 tablet and Samsung 303 Chromebook, respectively. We have already received great feedback and look forward to being involved with future collaboration events.

We all gathered at Grand Circus early Tuesday morning and were able to experience brand new technology including Google Glass & a Double Robotics robot. It was fun to see attendees' reactions to wearing Google Glass, trying out the voice commands and hear the discussions about use-cases for the new form factor. Many discussed practical applications of the device in their environment, from streaming technical specs and hands-free information look-up to training videos for new employees. When it came to the Double robot, the ability to interact with a space and group over long distances seemed to be the most valuable feature.

Getting to Know Each Other

Build IT Together opened with a unique survey allowing attendees to anonymously compare their current IT environment to the rest of the group. This allowed everyone to reflect on areas of improvement, while simultaneously providing connections to others at the event with which to network and learn from. Those in small companies were able to compare their current setup with that of a mid-sized company and glean insights for how to scale. Larger companies were able to see what helped smaller companies remain nimble.

Sessions & Take-a-ways

Breakout sessions were available in 4 topic areas including: data backup & business continuity, helpdesk, mobility & collaboration, and change management. Below are some of the highlights.

Anytime Anywhere

  • The demand for mobile technology and collaboration tools is so great that when IT departments don’t give them company tools many end-users use their own, putting company data at risk from both security and ownership standpoints.
  • Google Apps for Business was highlighted as a tool that many attendees’ organizations have found success with while Office365 and Vibe were mentioned as potential alternatives.
  • With the paradigm shift in tools and functionality from personal productivity to team productivity, change management and solid training curriculum, particularly for older end-users, are essential for good adoptions rates.

Beyond Backup

  • Randy James from Greenleaf Hospitality Group provided some insight into the decision-making process he went through when moving to a tapeless backup solution with replication to the cloud
  • Many attendees had questions about specific implementation points, including bandwidth throttling, hardware configurations, Disaster Recovery scenarios and data classification
  • It was noted that upwards of 60% of business data now resides on laptops, of which 30% are stolen, lost or damaged every year
  • Long-term, the feeling in the room was that other cloud-based services would reduce the exposure to data loss and that only mission-critical and data-intensive applications would remain local to businesses

Change is Hard

  • Managing expectations of the Executive team and explaining the change management plan for a project is a best practice and worth the extra effort, increasing strategic thinking about the benefits of the new technology and ensuring training for staff during adoption is budgeted for.
  • Utilize the early adopters within your staff from many departments to vet new technology is very helpful for smooth rollouts. They will be social champions when the roll-out occurs as well as training agents for co-workers within their team.

  • Measurement is key. Tracking time to close of support tickets as well as number of tickets closed on first call are most important data points in tracking improvements and creating a great opinion of the helpdesk among end-users.
  • Optimizing helpdesk personnel by hiring for attitude and training for aptitude is a best practice.
  • Investing in helpdesk personnel training to ensure a majority can close any ticket, regardless of complexity, on the first call is better than having a more traditional L1, L2, L3 tiering structure in securing praise and satisfaction from end-users.
  • When there is a high opinion of the helpdesk within an organization the entire IT department benefits from higher user satisfaction, supported and increased access to budget resources.

Chromebooks for Education: A Student’s View

As a high school senior and an intern at Newmind Group I see the need for technology in education and the struggles that many people face with it. In school these days, not having a computer can put a student at a severe disadvantage. Teachers expect you to type papers, create slide shows, and accomplish other tasks that require a computer in your free time. This can be a struggle for students without a computer of their own.

2 major struggles that I’ve had include:

  • Finding a device to work on
    While using computers at school or at a library is an option, it is inconvenient and the environment is not always conducive to accomplishing school work. Not to mention availability is always an issue when dealing with publicly accessible devices.
  • Saving & Transporting Files
    You also have to worry about how you save & transport files. Every teacher that I know stresses the importance of saving every document three times to guard against data loss. Without a personal device I’ve had to email myself, save to a USB drive, or to my Google Apps account at my school. (That last one isn’t so bad as I can get to it anywhere I have internet access, which is what I’ll touch on in a little bit.)



The problem escalates as I look forward and begin to think about college, where a laptop/PC is considered a necessary tool for learning. A 2012 study by Google found that 86% of all college students supplement what they learn in class with digital media, today I would assume that number is even higher. A computer therefore becomes a necessary tool for a college student and therefore a necessary expense. The same study found that 45% of college students pay for all of their college costs (tuition, room, board, books, and other expenses). This means that most students will choose a computer based largely on the cost of the device, even if the device is not ideal for their needs.

As a student I love the features of the Samsung 303 Chromebook that I’m using. It is very light and has an average battery life of seven hours with constant use, or about three days when in standby, which makes it extremely portable. I am a pretty heavy user and usually have anywhere from ten to fifteen tabs open at a time while I check my email, edit documents, spreadsheets, and do research simultaneously. I mainly use my Chromebook for work so I am constantly editing spreadsheets, doing research, creating documents, and writing code. Despite this heavy usage, the Chromebook has always remained lightning fast.

The greatest advantage of saving my work in Google Drive, which automatically saves changes while I’m working on a document, is the ability to access it wherever there is an internet connection, with any computer, while still having it saved to my Chromebook for offline access. By using Google Drive I can share my work with any other Google user and collaborate with them on documents. When I collaborate with other users we can all simultaneously edit the document and add comments to communicate. I use the collaboration feature constantly when a teacher assigns a group project. In fact, my AP Government class actually used Google Drive to create a unified copy of our notes so that we could compare them and help each other. (I also used the collaborative features in Google Drive to get help editing this post.)

The compelling feature to many students may be the low cost, with the Samsung 303 Chromebook starting at $249 compared to a basic laptop that starts around $300. Most laptops/PCs that would be adequate for student use are closer to the $400-$500 range. A chromebook also has the added advantage of coming with an extra 100 GB of Google Drive cloud storage free for two years, a service that would usually cost $4.99 a month.

This table shows the cost of ownership of a Chromebook vs a low-end and midrange Ultrabook and Macbooks over four years. I chose to use Ultrabooks and Macbooks for comparison because they are the devices that are similar in size, weight, and battery life; aspects that are very important when you are carrying it all day.

As I finish high school and move to college I know that I will be taking a Chromebook with me because of its portability, price, and features. Using a Chromebook will allow me to easily guard against data loss, and allow me to access my data through Google Drive from any computer with an internet connection. Google Drive will also provide a suite of applications for collaborative and creative use that is easily accessible and free. A chromebook will also be extremely portable at 2.4lbs with a seven hour battery life, while still saving me more than $500 over four years.

BYOD vs Standardization - Understanding Your Mobile Strategy Pt1

Mobile devices, collaboration & mobility, seem to be a hot topic recently. In just about everyone’s pocket is a device that gives them instant access to the Internet. A Nielsen study recently found that “66% of Americans 24-35 now own a smartphone.” With so many users owning their own mobile devices and bringing them to the workplace, its not surprising that IT departments and employees are clashing over ownership, data access and privacy.

Misconceptions

Employees aren’t waiting for IT & management approval to bring their devices to work. According to a CTIA study, “60 percent of IT professionals believe 25 percent or less of their employees are accessing work related information on their smartphone or tablet, while 57% of users said they access work related information on their smartphone or tablet at least once a week.” This may be why “smaller companies, with fewer than 500 employees, are less likely to communicate to their employees about BYOD and security.” Misconceptions about the workforce drive IT departments to prioritize the importance of strict mobile device policies, defaulting to device standardization. Standardization circumvents the grey areas of privacy and personal property, but comes with its own pitfalls.


Range of Device Standardization

Where does your organization currently stand?
Where do you want to be?
High device standardization
requires that everyone use the same type of PC (laptop vs desktop, Apple vs Microsoft vs Linux vs Unix), the same mobile phone (iPhone vs Android) even so far as to require the same model and software version (iPhone 4S or HTC ONE running Android v 4.1.2). This level of rigidity allows IT departments to specialize in a few devices and provide deeper levels of support, internally developing business operation platforms to obtain competitive advantage. High device standardization carries high device purchase costs and high technological debt, causing some enterprises to run outdated software.

Low (or zero) device standardization, BYOD, is essentially the exact opposite. Employees are able to use any device they like, creating an atmosphere that may have over 15 different types of devices, from different manufacturers, running different versions of software. This makes it difficult for IT employees to cultivate a high degree of proficiency in every device. Although IT staff may not be experts in all device types in an organization, this atmosphere opens the door for employees to create user groups and organize genius bars. The most important aspect of low device standardization is the high accessibility of data, which leads to greater gains and efficiencies, that we’ll explore in a later article of this series.

The Tipping Point is Mobility & Collaboration

As you’ve probably deduced, the conversation isn’t BYOD vs Standardization, but instead understanding the culture & needs of your workforce. If a high degree of mobility & collaboration is needed, then your data will need higher accessibility via more devices.

The goal is not to decide for your organization what level of mobility & accessibility is needed, but rather allow the organization and its members to dictate the level they require. Here are a few questions to help start to evaluate your organizational situation:

  • Does your organization have employees spread geographically? 
  • Is there a specific type of device the members of your organization already lean toward? 
  • Do the software platforms and data formats in use require a particular device or platform for access?

Use the questions above, and form other questions, targeting value-driving processes within your organization to gather data about your company’s environment & attitudes toward personal devices & data access. Use those insights to create a BYOD & mobile device policy and IT data access strategy that will be easier and more positively viewed by your workforce.

4 Simple Steps to an Effective BYOD & Mobile Policy

There is building momentum toward creating a connected & mobile workforce. This trend requires business data access through personal mobile devices. News headlines of leaked business-critical data, financial statements, corporate espionage, hacked corporate accounts, corrupted data flash across your eyes. BYOD & mobile devices won’t end in catastrophe or cause friction within your organization, but will require some change management and a mobile policy and some Mobile Device Management (MDM).

We took some time to chat with some IT directors and found some research showing that,
  • 60 percent of IT professionals believe 25 percent or less of their employees are accessing work related information on their smartphone or tablet.
  • 57 percent of users said they access work related information on their smartphone or tablet at least once a week.

It became clear that a BYOD/mobile policy is becoming a necessity and should have the following elements:


  1. Set of expectations that align with your organization’s goals 
  2. Clear and plain language 
  3. Concise, so that everyone reads it 
  4. Tools to enforce (Mobile Device Management)

Mobile Expectations

You want the most out of all of your employees and the best way to do that is to let them know exactly what you expect. Many employees are not privy to the overarching strategy of an organization and feel that their efforts are lost in the shuffle, as are their desires and need for work-life balance. Explaining how mobile devices fit into the corporate culture and goals of the organization will provide guidelines for their use within day-to-day operations. Your employees will appreciate being allowed to stay connected to their families and personal lives.

Clear and Plain Language

“Thou shall not pass”, Gandalf can get away with such words, but a mobile policy that is going to be understood should be written with plain English and not legalese. When was the last time you actually read the user agreement license on a new piece of software? (Well, you’re the head of IT, so probably always, but the majority of employees won’t.) So keep the language simple and clear. Using normal conversational vernacular will suffice.

Concise

One of our favorite mottos is KISS “Keep It Simple Stupid”. A mobile policy over 2 pages is probably pushing it. Remember, this is a document that should be a guideline for usage, not document every possible scenario (which is impossible, because that time the rhino came into the company bathroom to use their cell phone for a personal call, was not foreseeable...and not true, but you get the picture). Also, 11pt font single spaced makes our eyes cross and causes vertigo (not really, but it is hard to read) and we want everyone to read the new policy. If the entire policy can fit on a single page, great. If not, don’t go over 2 pages. We all have work to do.

What Not To Include

Policies already sound like a proverbial “ball and chain” and when approaching it employees will cringe thinking that management is going to restrict usage again or impose some arcane security requirement, or ban use all-together. When approaching your mobile policy, do not include the security policy or write an entirely new one. You’ve already got one and to keep it easy all you have to do is make sure the policy fits within it.

Mobile Device Management Tools

Sometimes its not enough to just have a policy; you want to sleep more soundly. Finding the right tool can be hard. You want to improve productivity, but you do want to keep data safe while keeping up morale. When evaluating an MDM be sure that it covers all types of devices, Mac PC, Android iOS, etc, provides network analysis, scales with your business, supports BYOD (if you’re not supplying mobile devices), links ties in with business reporting, and supports content management.

Now go forth and create your mobile & BYOD policies. Remember to keep them short & clear, with easy to digest expectations that fit within your current security policy and you’ll be one step closer to a more connected & efficient workforce.

Why we want to Build IT Together

My experiences with the Kalamazoo entrepreneurial community

For the past couple of years I have had the privilege of being involved in the growing entrepreneurial community in Kalamazoo. A series of events and meetups over the course of that time, sponsored by Startup Zoo, have brought many like minded folks together, caused businesses to be formed, partnerships to emerge and has brought me into the lives of some fantastic people.


Many of these people are now my friends and StartupZoo meetups and events have become fun opportunities to get together with those friends and talk about what we love, technology and entrepreneurship. I’ve also gained very meaningful support and insight from other entrepreneurs and business owners in the area like Jen Randell of Maestro and Matt Mace of Blue Granite.

Why can’t we strengthen the IT community?

Sounds like a lot of fun right? It has been. But the experience has gotten me thinking. Why can’t we form the same connections and collaborative relationships in the IT community here in Southwest Michigan.

I am convinced that we can.

That is what our Build IT Together event is all about. I want to bring the IT community together to form relationships, learn from each other, and have a lot of fun doing it. I hope that this can be the start of many more IT community focused events, not just presented by Newmind, but presented and hosted by other IT leaders in the area as well.

The Power of Collaboration


For better or worse, you likely can't count all of the times in an average work day that you collaborate with your coworkers.
If you work in an open office setting you are unwittingly in cahoots on everything from work tasks to what music to listen to, and the longer the distance between you and your coworkers the more essential it is to find tools that make the collaboration painless.

When you don't get the casual face time that a lot of people take for granted, it shines a spotlight on how many decisions get made in those dismissible few seconds throughout the day. As e-commuting and super-computing become more of a norm though, how are you collaborating? Chat and email are handy, but when you need to group edit a document, are you each saving your own copy then tasking one person with merging them at the end (then doing it all over again on the next revision)?
I sat in on a conference call with an area business the other day to review a proof of a proposal from a "team" of businesses. The heads of each business huddled around their respective speaker phones and stared at their respective screens to page through the preliminary pdf proposal. They discussed the changes that needed to be made and divvied up the list of who would complete each task. How could this have been simpler?
These are the key workflow issues that Google Apps embraces. Collaboration is powerful. I'll say that again: Collaboration is POWERFUL. The sum of the team's experience, knowledge, and savvy is the force a company has to leverage over its competition. If the ability to collaborate and contribute to that sum has become so cumbersome and anti-intuitive that the product suffers, so will your success.
Linux is a brilliant example of what will happen when talent joins forces and works together toward a common goal, while still letting each person work in his or her specialty.
